Director of Order Management & Sales Operations
The Director of Order Management & Sales Operations will play a key leadership role, driving the integration of estimating and scheduling operations to enhance customer experience and operational efficiency. This role focuses on pricing strategies, scheduling optimization, and performance metrics to achieve company goals. The director will lead team development, create standardized operating procedures (SOPs), and implement training programs to build a scalable and reliable department. The ideal candidate will foster a team culture focused on responsiveness, creativity, collaboration, and delivering high-quality results for commercial success.
Key Responsibilities
Strategic Leadership
- Develop and execute strategic initiatives to enhance estimating and scheduling operations, aligning with overall business objectives.
- Establish and manage KPIs to measure team performance, drive improvements, and ensure operational excellence.
- Foster a culture of continuous improvement by implementing cross-training, process optimization, and leveraging automation and technology.
- Partner with sales, operations, and technical teams to enhance efficiency and ensure seamless service delivery.
Team Development & Management
- Recruit, onboard, and develop a high-performing team of Estimators and Schedulers to support business growth.
- Provide coaching, mentorship, and ongoing professional development to strengthen team capabilities.
- Establish and enforce standardized operating procedures (SOPs) to ensure consistency and scalability.
- Design and implement training programs that accelerate onboarding and equip team members for success.
- Build a sustainable team structure that minimizes single points of failure and ensures repeatable, reliable processes.
Estimating Operations
- Oversee the preparation and review of accurate quotes and proposals, ensuring alignment with pricing strategies and margin targets.
- Utilize expertise in blueprints, technical specifications, and industry standards to validate scope accuracy.
- Maintain strong relationships with vendors and subcontractors to ensure cost-effective and high-quality proposals.
Scheduling Operations
- Implement and manage scheduling systems that optimize resource allocation and improve turnaround times.
- Coordinate with operations and field teams to align project schedules with customer requirements.
- Identify scheduling bottlenecks and implement process improvements to enhance efficiency.
Operational Excellence
- Lead initiatives to streamline operations, eliminate manual inefficiencies, and improve scalability through automation.
- Drive collaboration across departments to eliminate silos and enhance workflow efficiency.
- Analyze data to generate insights that inform decision-making and improve operational outcomes.
Qualifications
- Bachelor’s degree in Business, Engineering, or a related field required; MBA or MS preferred.
- 7–10 years of leadership experience in estimating, scheduling, or operations management.
- Proven track record of developing and achieving KPIs that drive measurable improvements in accuracy, efficiency, and performance.
- Demonstrated success in leading large-scale process improvements that drive significant cost, time, or resource savings.
- Strong ability to interpret and apply technical standards and codes to operational processes.
- Experience designing and implementing pricing models and strategies to maximize profitability while maintaining competitiveness.
- Expertise in evaluating, implementing, and scaling workflow automation technologies to reduce manual effort and enhance operational scalability.
- Direct experience creating and enforcing SOPs, including developing training programs to ensure team compliance and operational consistency.
Work Environment
- Full-time, office-based role with minimal travel requirements.
- Occasional extended hours may be necessary to meet deadlines or address urgent operational needs.
