About the Opportunity
This role is with a leading provider of alternative dispute resolution (ADR) services, partnering with many of the nation's most respected retired judges and litigators to help resolve complex legal matters outside of the courtroom. As the company continues to grow, we are seeking a highly capable Executive Assistant to serve as a trusted partner to the CEO.
This is not a traditional administrative support role. We're looking for someone who thrives in a fast-paced executive environment, anticipates needs before they arise, and helps ensure the CEO remains focused on the highest-value priorities.
The Role
The Executive Assistant will manage the day-to-day flow of the CEO's business activities, serving as the central point of coordination across an organization built on relationships with dozens of high-profile legal professionals. Success in this role requires exceptional organization, sound judgment, attention to detail, and the ability to manage multiple competing priorities simultaneously.
While the position is based in the group's Downtown Los Angeles office, the company is open to some flexibility for an exceptional candidate.
Key Responsibilities
- Own and manage the CEO's complex and constantly evolving calendar.
- Coordinate meetings, priorities, and follow-up actions to ensure nothing falls through the cracks.
- Arrange domestic travel and prepare detailed itineraries as needed.
- Prepare executive presentations, PowerPoint decks, and board-level materials.
- Track ongoing conversations, initiatives, and relationships across a large network of judges, mediators, attorneys, and business leaders.
- Conduct research and prepare briefing materials in advance of meetings and strategic discussions.
- Coordinate internal and external communications on behalf of the CEO.
- Partner closely with senior leaders to keep projects and deliverables moving forward.
- Exercise discretion while handling confidential business information.
- Anticipate issues before they arise and proactively solve problems.
What We're Looking For
- Several years of experience supporting a CEO or senior executive in a fast-paced corporate environment.
- Exceptional organizational and time management skills with the ability to manage numerous priorities simultaneously.
- Strong critical thinking skills with the ability to process information, connect dots, and anticipate executive needs.
- Outstanding written and verbal communication skills.
- Advanced proficiency with Microsoft PowerPoint and Microsoft Office.
- High attention to detail and strong follow-through.
- Professional presence and the confidence to interact with executives, board members, and high-profile external stakeholders.
- Comfortable operating independently while exercising excellent judgment and discretion.
