Office Manager
HireneXus is partnering with a well-established independent wealth management firm to identify an Office Manager for its Manhattan Beach office.

The Office Manager will oversee the day-to-day operations of the office, ensuring an organized, welcoming, and efficient environment for employees, clients, and visitors.

This individual enjoys balancing administrative responsibilities with event planning, hospitality, and operational support while serving as a trusted resource for both internal team members and clients.
Responsibilities
- Oversee the daily operations of the office, ensuring a professional, organized, and client-focused environment.
- Manage office supplies, inventory, kitchen operations, conference rooms, and shared workspaces.
- Coordinate vendors, building management, maintenance providers, and other office service partners.
- Prepare meeting spaces, refreshments, and audio/visual equipment for internal and client meetings.
- Provide administrative support to leadership, including scheduling, travel coordination, and special projects.
- Maintain CRM records, administrative documentation, contact lists, and other office systems.
- Coordinate mail, shipping, deliveries, and office logistics.
- Plan and execute internal meetings, employee events, client seminars, and other firm-sponsored events from planning through on-site execution.
- Manage event vendors, budgets, timelines, RSVPs, catering, transportation, and post-event follow-up.
- Coordinate branded materials, client gifts, and hospitality initiatives.
- Continuously improve office procedures and administrative workflows.
- Foster an exceptional client and guest experience through professionalism, attention to detail, and outstanding service.
Qualifications
- Bachelor's degree required.
- 3+ years of experience in office management, administrative operations, executive support, or a similar role.
- Experience managing vendors, facilities, office operations, and administrative processes.
- Strong organizational and project management skills with the ability to prioritize multiple responsibilities.
- Experience planning meetings, events, or client-facing functions.
- Excellent written and verbal communication skills with a polished, professional presence.
- Strong proficiency with Microsoft Office and virtual meeting technologies.
- Ability to work independently, anticipate needs, solve problems, and maintain confidentiality.
- Willingness to support hands-on office responsibilities as needed.
